SUMMARY OF DUTIES:

Under the direct supervision of the Chief of Staff, performs all or some of the following duties:

  1. Serves as the administrative assistant for all correspondence and phone calls for the President and Administration.
  2. Prepares travel arrangements and memos for President.
  3. Assists in maintaining the President’s schedule for meetings.
  4. Maintains files, correspondence and other records.
  5. Greets visitors and directs visitors to the appropriate person.
  6. Attends various meetings to serve as receptionist and/or coordinator.
  7. Types reports, correspondence, forms and other documents.
  8. Prepares board of directors’ informational packets for meetings.
  9. Records board of directors meetings and prepares minutes for each meeting.
  10. Performs other duties as assigned for the President’s office.

INDEPENDENCE OF ACTION:

Often makes decisions of average difficulty regarding the operation and maintenance of immediate office support staff.

WORKING CONDITIONS:

General office conditions.  Normal working hours are from 8:00 am until 5:00 pm with one hour for lunch.  Additional hours will be required to attend meetings or completion of reports as the need arises.  Occasional travel may be required.

MINIMUM QUALIFICATIONS:

Bachelor Degree in Business Administration preferred an Associate Arts degree in Office Technology or related field accepted with minimum of three (3) years of work experience in the areas of the duties listed above; experience working with Microsoft Office 2007, scanning, and faxing.

OTHER REQUIREMENTS:

Ability to type a minimum of 55 words per minute.  Must be tested by Job Service.  Must have strong filing skills, office vouchers and organizational skills.  Must have above-average communication skills and receptionist etiquette.  Must be prepared to work independently and to make average difficulty decisions.
